Using CLEAN_Address with Banner 9

CLEAN_Address is a helpful tool that is in the process of being implemented for use within our Banner 9 system. This tool will help with live verification and standardization of all postal addresses that will be entered into Banner in the future. As an address is entered, CLEAN_Address will query the United States Postal Service’s (USPS) databases and automatically make any changes to the entered address so that the address matches the USPS postal standards. The addresses that this affects is set by a list of parameters that we define, that tell what type of address to verify and what type of address to ignore when a user enters an address into a Banner 9 form.

Features of Using CLEAN_Address include:

  • Verify and standardize postal addresses in a number of Banner 9 forms using appropriate address types.
  • Corrects and reformats misspelling and case sensitive instances to the USPS postal standards.
  • Displays suggestions for correcting invalid addresses if CLEAN_Address cannot auto-correct the address.
  • Allows the user to skip the address validation process for instances where the address corrections from CLEAN_Address are incorrect.

 

Where CLEAN_Address Will Be Used

Below is a list of the Banner 9 forms that will be affected by CLEAN_Address as of January 21, 2021. CLEAN_Address will have the ability to verify and autocorrect addresses as they are entered or skip the verification process and store the addresses as the user has entered it in these forms.

As mentioned before, CLEAN_Address functions off of a list of parameters that we define that tell what type of address to verify and what type of address to ignore when a user enters an address into a Banner 9 form.  CLEAN_Address compares the address type stored within the address table to the user-defined address type in the Banner form and then either auto-corrects the address with any needed corrections or ignores the address input altogether.

The Following tables divide the different address codes we use into groups. The first group are the addresses that CLEAN_Address will verify and correct within the Banner 9 forms automatically. The second group are the addresses that CLEAN_Address will ignore and save what the user enters without verifying or changing the address.

How to Use CLEAN_Address

CLEAN_Address is a user-friendly addon to Banner in the sense that there is not a requirement from the user for CLEAN_Address to operate. Simply start filling in the information into the required text fields and press TAB when you are finished with the last box. CLEAN_Address then takes over from there and corrects any problems within the information that was entered.

Here we have an example of address information being entered into a Banner 9 form. Because the user has chosen Permanent (PR) as the address type, CLEAN_Address will auto-validate this information. Here the user has not entered the entire address in Street Line 1 and there are two spelling errors, one in Street Line 1 and the other in City.​

 

After the user enters the zip code information on the last line and then presses the TAB key, the information entered is auto-corrected to what we see here in this image. The address now has North added and the correct abbreviation for avenue is applied. There is a correction made in the city name and the state is added along with the rest of the zip code.

 

What if CLEAN_Address is Wrong?

If ever comes a time where a user enters information pertaining to an address and CLEAN_Address fails to correct the address properly, there is a way to bypass the validation process which skips the address validation process altogether and saves the address information exactly how the user has entered it. 

This is a screenshot of the right-hand side of the screen from the same Banner form we were using in the previous example. One thing that is important to note, the “Address Verified” check box is circled here. This box will be checked after CLEAN_Address has completed its process of verifying the address information. So, in order, the user will enter the information down to the last field or zip code box and then press the TAB key. CLEAN_Address will then validate and make the corrections needed and that is where you see this box is now checked letting you know the information has been validated and is correct.

 

In this screenshot, we see that the “Skip Address Verify” box is circled in red. This is the box that you would check if ever there is an issue with the address a user is trying to enter but CLEAN_Address is not validating correctly or for some reason not registering the address at all. What this box does is tells CLEAN_Address that this address has already been verified even though it hasn’t. CLEAN_Address then skips the address verification step and saves the address in the format that the user has entered.

 

If a user enters an address that falls outside the address number range for that location, an error will be generated with suggested address information for the user to use.  Here the user entered the street number to be 5000 for NSU’s address.

 

Because North Grand Ave’s address numbers do not extend to 5000, CLEAN_Address generated this error with suggested address numbers that may be correct.

 

What Needing to Use "Attention" or "In Care of"

CLEAN_Address has many pre-defined settings that control the auto-correct feature for address standardization. Another one that is important to know is when using “Attention” for the receiving party in the address.

In this picture, we see that the user has entered the address on Street Line 1 but on the second line the user added “Attn: Wyle E.”

 

Once the user has finished entering the address information and presses the TAB key, CLEAN_Address validates and auto-formats the data so that the “Attn: Wyle E.” line is now on Street Line 1 and the address is now on Street Line 2. This is another point of format that is standard for USPS addresses and also works the same had the user entered “In Care of” instead of attention.

 

Tips

  • If you have entered the entire address and must change the city, state, or zip code – navigate to Street Line 1, delete the data out of all address fields, then start over.
  • If you must correct the Street Line1, 2, or 3 fields – navigate to the appropriate Street field and make the correction. You don’t have to start over.
  • If an address needs to be updated, end the existing address record and enter the new address as a new record.
