Setup and Manage Voicemail on VoIP

One Time Enrollment

1) Call in to the voicemail system using your own desk phone, 5555 Use initial PIN 1234

2) You will be greeted by the system, and given the option to exit the system. Continue listening until you hear the next prompt

3) The next prompt will be for your recorded name. This prompt can be used for when users leave you a voicemail, and it will also be played when you log in

  •  When prompted record your First and Last name and then press the #
  • If you are happy with the recording press the # key again to save the recording. If you are not happy with the recording you will be prompted to record it again automatically

4) Next the system will walk you through the greeting that will be presented to users when they get to your voicemail box. The default setting is to play a system greeting with your recorded name. If you would like to have a personalized greeting press 1 when prompted

  • If you selected 1 you will be prompted to record a personalized greeting. Once you have recorded your greeting press the # key
  • If you are happy with the recording press the # key again to save the recording. If you are not happy with the recording you will be prompted to press 1 to record it again

5) Next the system will prompt you to update your PIN. Think of a secure PIN that is at least 4 digits long

  • When prompted enter in your PIN code and press the # key
  • You will then be prompted to enter in your PIN code again. Enter your PIN code again and press the # key

6) Finally the system will give you the option to change your directory listing options. Do not change the listing options. Press the # key to finish the enrollment process

 

Calling in to Voicemail

1) If you’re using a Cisco phone press the Messages button or you can dial 5555 from any phone.  Using an external phone you can also dial 918-444-5555

  • If you are calling from any phone other than your own press * when the Voicemail system answers the call

2) If prompted for your ID enter your 4 digit extension and press the # key

3) Enter your pin when prompted and press the # key.  If you have not completed the enrollment process your initial PIN will be 1234

Changing Your Greeting

1) Call in to the Voicemail System

2) The system will start playing the main menu options. To manage your greetings press 4 and then press 1

3) The system will inform you of your current greeting that is being played. If you wish to record a new greeting press 1

  • If you are happy with the recording press the # key to save the recording. If you are not happy with the recording you will be prompted to press 1 to record it again

4) You can then simply hang up to end the call

 

Apply System Default Greeting

If you have recorded a standard greeting, and wish to re-enable the system default message of “Sorry <User’s Recorded Name> is not available please leave a message at the tone” use the following steps:

1) Call in to the Voicemail System

2) The system will start playing the main menu options. To manage your greetings press 4 and then press 1

3) To re-enable the default system greeting press 3 and then press 1 and then press 2

4) You can then simply hang up to end the call

 

Changing PIN Code

After enrollment you may wish to change your voicemail box PIN 

1) Call in to the Voicemail System

2) The system will start playing the main menu options. To manage your PIN press 4 and then press 3 and then press 1

  • When prompted enter in your PIN code and press the # key
  • You will then be prompted to enter in your PIN code again. Enter your PIN code again and press the # key

3) Once you have updated your PIN you can simply hang up to end the call
